01 / THE PORTFOLIO PICTURE

Portfolio averages can hide asset-level exceptions.

A portfolio may appear stable at an aggregate level while individual listings, pricing rules, availability records or enquiry workflows behave inconsistently.

01
▦

Listing Integrity

Examine listing accuracy, distribution consistency and alignment across the channels used.

ASSET → LISTING → CHANNEL
02
◷

Availability & Pricing

Review availability records, pricing history and the rules applied across the portfolio.

AVAILABILITY → RULES → RATE
03
↗

Enquiry Progression

Understand how enquiries are received, handled, followed up and progressed towards bookings.

ENQUIRY → RESPONSE → BOOKING
04
▤

Reporting & Control

Establish whether portfolio indicators, definitions and exception reporting support reliable decisions.

DATA → EXCEPTIONS → ACTION
02 / WHERE CONTROL BREAKS DOWN

The portfolio may be visible. The underlying exceptions may not be.

01

Availability does not translate into bookings

Available nights or rental periods may remain unconverted, while the underlying causes are not clearly identified.

02

Pricing rules drift across assets

Pricing settings, exceptions and changes may become inconsistent across listings or operating channels.

03

Enquiry response and follow-up are inconsistent

Response ownership, timing and follow-up processes may vary between properties or team members.

04

Listing and distribution records do not align

Listing information, availability and channel records may not remain consistent across the portfolio.

05

Portfolio reporting hides recurring exceptions

Aggregate indicators can conceal individual assets, data-quality issues and repeated operational deviations.

06

Corrective actions do not remain in place

Changes may be made without a clear record of ownership, adoption, recurring checks or subsequent review.

!

Portfolio control is not just an average performance figure. It requires visibility over assets, workflows, rules and recurring exceptions.

03 / THE DIAGNOSTIC

Establish the evidence behind portfolio performance.

The Diagnostic examines selected listing, availability, pricing, enquiry and reporting records to identify where commercial leakage may be occurring.

REVIEW AREAS
  • Listing and distribution consistency
  • Availability and pricing history
  • Enquiry-to-booking records
  • Response and follow-up timestamps
  • Portfolio performance indicators
  • Source-of-truth and metric definitions
  • Reporting processes and data integrity
  • Recurring exceptions and control gaps
QUESTIONS WE EXAMINE
  • Are listings consistent across the relevant distribution channels?
  • How are availability and pricing rules maintained?
  • Where do enquiries stop progressing towards bookings?
  • Can response and follow-up performance be established?
  • Are portfolio indicators defined consistently?
  • Can recurring exceptions be traced to specific assets or workflows?
  • Is the available data sufficiently reliable for measurement?
POTENTIAL BASELINE INDICATORS

Use measures that reflect the actual portfolio.

Occupancy / available nights ADR or rent achieved Enquiry conversion Response time Channel share Agreed portfolio indicators

The selected indicators depend on the rental model, available records and agreed definitions. Measures are not assumed to be comparable across different property types or operating models.

04 / HOW THE WORK IS DELIVERED

From portfolio evidence to controlled corrections.

A defined methodology connects the Diagnostic findings to implementation and a subsequent review of adoption.

01 DIAGNOSTIC

Identify

Examine asset-level records, workflows, rules and reporting to establish where leakage may be occurring and what the available evidence supports.

03 REVIEW

Assess

Review whether agreed changes remain in place, are being used and are reflected in selected portfolio measures.

05 / ENGAGEMENT OPTIONS

Three defined engagements. Different levels of control.

Select the engagement that matches the portfolio's requirements. Scope, asset count, systems, data access and deliverables are agreed before work begins.

Separate scope: Portfolio Performance Control may cover up to 25 listings, subject to system complexity and agreed reporting requirements.

!

Scope distinction: the Diagnostic's indicative 10–50 listing fit and Portfolio Performance Control's separate scope of up to 25 listings are different engagement parameters. They must not be treated as interchangeable limits.

Engagement availability, eligibility, investment and deliverables are confirmed through qualification and a written proposal. No commercial outcome is guaranteed.

06 / THE CONTROL PRINCIPLE

Better portfolio decisions require more than one headline number.

A useful control framework connects assets, operating processes, consistent definitions and corrective actions.

01

Asset-level visibility

Identify where selected indicators and exceptions sit across the portfolio.

02

Commercial and operational view

Connect available performance measures to the workflows and controls behind them.

03

Existing systems

Work with suitable existing systems and supported configuration rather than assuming replacement.

04

Defined workstreams

Select and document the specific correction required rather than attempting an undefined overhaul.

05

Recurring exception visibility

Record deviations, ownership, corrective actions and subsequent review.

07 / REMOTE DELIVERY

Structured remotely. Documented throughout.

Engagements are delivered through scheduled online sessions, secure document exchange, agreed system access and structured asynchronous collaboration.

Work is documented from initial discussion through agreed scope, delivery and review. This creates a record of what was discussed, agreed, delivered and decided.

01

Qualification and discovery

Understand the portfolio, operating model and commercial issue.

02

Evidence and scope

Agree asset count, data requirements, access and deliverables.

03

Documented execution

Complete the agreed Diagnostic or selected Fix Sprint.

04

Handover and review

Record changes, ownership and agreed performance measures.

09 / FREQUENTLY ASKED QUESTIONS

Before we begin.

Understand the engagement boundaries, portfolio requirements and delivery model.

Can you guarantee higher occupancy?

No. We examine commercial processes, available evidence and selected measures. Occupancy and booking outcomes depend on demand, market conditions, pricing, property characteristics and client execution.

Do you provide daily pricing or revenue management?

No. The work may examine pricing rules, availability controls and their configuration, but it does not include ongoing daily pricing or managed revenue management.

Will you handle guest communication or bookings?

No. Guest communication, dispatch, booking handling and daily operating activities are outside the defined scope. We may examine and correct agreed workflows and controls.

Will you replace our PMS or channel manager?

No. The engagements are designed around suitable existing systems. Supported configuration may be included, but platform replacement and major migrations are excluded.

How is the portfolio size determined?

Scope depends on listing count, system complexity, data availability and reporting requirements. The Diagnostic has an indicative fit of approximately 10–50 listings. Portfolio Performance Control has a separate scope that may cover up to 25 listings. These are different engagement parameters.

Do you inspect the properties?

No. Engagements are delivered remotely. Physical property inspections and on-site operational assessments are not included by default.

Do you conduct financial, legal or compliance audits?

No. The service focuses on commercial processes, selected performance measures, workflow controls and implementation of agreed corrections. It does not provide financial, legal or compliance certification.

What data will we need to provide?

Requirements depend on the agreed scope. They may include listing snapshots, availability and pricing history, enquiry records, booking data, portfolio KPIs and reporting definitions. Data access and quality are assessed before conclusions are drawn.

Can you work with a multi-property operator?

Yes, where the portfolio, operating structure, systems and available data are suitable. Multi-portfolio and complex system requirements are scoped separately.

How do we get started?
